How to Connect with Zoom

  • We will be using the Zoom platform (please note the change from previous system)
  • We will send the meeting link and password to all registered participants by email. Please use the link to join.
  • You have the option of joining via the desktop application (requires installation) or through the browser plugin.
  • We will have an option to join (audio only) by phone. Please see the section on call-in numbers. The meeting passcode will be emailed to all registered participants.

Session Structure

  • The session chair will introduce and moderate the session.
  • For each talk, the session chair will introduce the presenter. The host (NASA organizer hosting the meeting) will livestream a pre-recorded video presentation by the authors. Each presentation is followed by a live Q&A session.
  • The audience will ask questions via the chat. The session chair will ask the questions from the chat on their behalf. The authors will be available to respond live to the questions.
  • The duration of a presentation by type is as follows:
    • Long: 20 minutes video duration + 5-10 minutes Q&A duration
    • Short: 15 minutes video duration + 5-10 minutes Q&A duration

Instructions for Session Chairs

  • Please join the session 15 minutes in advance and test your microphone once joined. Please identify yourself as the session chair to the host (NASA organizer hosting the meeting) via private chat.
  • Please introduce and moderate the session.
  • For each talk, please introduce the author/paper-title
  • Authors’ bios will be sent to you by the NFM organizers or directly from the authors
  • The host will then play the video submitted by the authors.
  • Please mute yourself when not speaking to minimize background noise.
  • Optionally, you may enable your webcam to be more engaging with the audience. However, to conserve bandwidth, please only enable your webcam when you are active during the session and not during video playback.
  • Participants will write questions to the chat. Each presentation will be followed by a live Q&A.
  • During the Q&A, please ask the questions in the chat on behalf of the audience. The authors will be available to respond to the questions live.
  • Please make sure that time constraints are respected:
  • The duration of a presentation is by type as follows:
    • Long (30 minute slot): 20 minutes video duration + 5-10 minutes Q&A
    • Short (25 minute slot): 15 minutes video duration + 5-10 minutes Q&A
  • If you experience any problems please use the chat to send a private message to the host of the session.

Instructions for Paper Presenters

  • Please join the session 15 minutes in advance and test your microphone once joined. Please identify yourself as a paper presenter to the host (NASA organizer hosting the meeting) via private chat.
  • You will be introduced by the Session chair and your presentation video will be played by the host
  • Please mute yourself when not speaking to minimize background noise.
  • Each playback will be followed by a live Q&A session. The Session Chair will ask you questions that are posted in the chat window on behalf of the participants.
  • Optionally, you may enable your webcam to be more engaging with the audience. However, to conserve bandwidth, please only enable your webcam when responding to questions during the Q&A session.
  • If you experience any problems please use the chat to send a private message to the host of the session.

Instructions for NFM2020 Attendees

  • All attendees will be muted during the presentations and Q&A sessions
  • To conserve bandwidth, we ask that you keep your webcam disabled.
  • Participants may use the Zoom chat to post questions that will be asked by the session chair on your behalf during the Q&A session.
  • You can access the Zoom chat window by clicking on the Chat button in the bottom toolbar.
